What is a hosted phone system?

A hosted phone system is a cloud-based business telephone system. Instead of a physical PBX box on your premises, all the switching and call management happens in the cloud — managed by your provider. Calls are made over your broadband connection using VoIP (Voice over Internet Protocol).

Users can make and receive calls from desk phones, mobile apps, desktop apps, or a web browser — all on the same system, all on the same number. You manage everything from a web portal: add users, set up call routing, build IVR menus, configure voicemail — no engineer, no waiting on hold to your provider.

The BT PSTN network is being switched off by January 2027. All UK businesses on analogue or ISDN lines must migrate to a digital alternative before the deadline. A hosted VoIP system is the most common replacement.

Hosted phone system — frequently asked questions

How much does a hosted phone system cost for a small business?
A hosted phone system for a small business in the UK typically costs £9.95 to £15 per user per month. This includes a UK number, unlimited UK landline and mobile calls, and mobile and desktop apps. Desk phones are optional — you can add them to the monthly plan or use existing hardware. There is no setup fee for self-install deployments. Number porting charges are fixed and apply per number transferred.
Do I need an engineer to install a hosted phone system?
No. Modern hosted phone systems use zero-touch provisioning. New desk phones are automatically configured when plugged into your network — no engineer visit is required. You can set up a full system with multiple users, call routing, IVR menus, and voicemail in a matter of hours. More complex configurations such as call centre routing or time-plan programming can be done via the management portal or by our team.
Can I keep my existing phone number?
Yes. Number porting lets you transfer your existing business numbers to your new hosted provider. Geographic numbers (01, 02, 03) and non-geographic numbers (08) are both supported. Your existing lines stay active during the porting process, which typically takes 5 to 15 working days. There is a fixed charge per number ported.
What is the difference between hosted VoIP and Microsoft Teams Calling?
A hosted VoIP system like GoYap is a dedicated business phone platform with advanced call management — IVR menus, call queues, call recording, ACD, and detailed real-time reporting. Microsoft Teams Calling adds phone capability to your existing Teams environment. Teams is a good fit if your team already works in Teams day-to-day. Hosted VoIP is better suited to businesses with reception functions, call queues, or contact centre requirements, and typically offers more granular call routing.
What happens to my phone system after the PSTN switch-off?
BT is switching off the traditional PSTN and ISDN network by January 2027. After this date, analogue phone lines will stop working. Any business on a traditional phone system or analogue lines must migrate to a digital alternative before the deadline. Hosted VoIP systems are fully PSTN switch-off ready and are the most common replacement. If you are unsure whether your current system is affected, contact us and we will check for you.
Can I use my existing desk phones?
In many cases, yes. Modern hosted phone systems support a wide range of SIP-compatible handsets. GoYap is compatible with over 300 IP phone models including Cisco MPP, Grandstream, Yealink, Snom, and many others. If your existing handsets are SIP-compatible, they can usually be provisioned on the new system without replacement. We can check compatibility for your specific models.
