What BT's sales channel won't tell you about pricing, contracts, handsets and whether there's a better option for your business.
BT Cloud Voice is a solid hosted VoIP product built on Cisco WebEx — enterprise-grade, feature-rich, and reliable. The product itself is not the problem. The issue is how it is sold. BT Cloud Voice is almost exclusively sold through BT Local Business partners, who are limited in the contract terms and products they can offer. The result is that most businesses end up on a 60-month contract with RPI-linked annual price increases and handsets bundled into the rental — whether that suits them or not. The same quality of service is available through independent resellers on shorter contracts, often at lower cost.
BT Cloud Voice is BT's hosted VoIP phone system for business. It has been through several iterations and is now built on the Cisco WebEx platform, which is a well-regarded enterprise unified communications product. That means the underlying technology is genuinely solid — call quality, reliability, mobile and desktop apps, and features are all competitive with the market.
Where BT Cloud Voice gets more complicated is not the product but the commercial model around it. Understanding how BT Cloud Voice is sold, priced and contracted is essential before agreeing to anything.
BT Cloud Voice is predominantly sold through BT Local Business partners — local resellers authorised to sell BT products. These partners require a 60-month (5 year) contract in order to earn their commission from BT. This is a commercial arrangement within BT's sales channel, not a technical requirement of the product.
It may be possible to negotiate a shorter contract term with a BT Local Business partner, but you will need to push hard. They are significantly limited in what contract durations they are authorised to offer, and a shorter term will almost certainly mean a higher monthly rate. If flexibility on contract length matters to your business, an independent reseller offering equivalent products on 12-month contracts is worth serious consideration.
BT Cloud Voice pricing is subject to annual RPI-linked increases each April. Over a 60-month contract that compounds materially — by year 5 you could be paying 15-25% more per user per month than your starting rate. Always model the full 5-year cost, not just the headline monthly figure, before signing.
BT Cloud Voice is not device agnostic. Supported handsets are limited primarily to Yealink and Polycom devices. If your business has an existing estate of Cisco MPP, Grandstream, Snom or other handsets, they will not work with BT Cloud Voice and you will need to replace them.
BT typically bundles handsets into the monthly rental rather than selling them outright. The monthly handset cost appears low, which makes it look attractive — but spread over 60 months you will pay significantly more than purchasing the same handsets outright. The handset value also forms part of your contract commitment, meaning if you want to exit early the remaining handset rental is included in what you owe.
A handset that costs £120 to buy outright might be bundled at £3/month over 60 months — totalling £180. Across 20 handsets that difference is £1,200 over the contract term, before the RPI increases are applied to the handset rental as well.
Pricing is quote-based and varies by user count, features, call bundles and contract length. As a guide:
| Plan | Typical price (per user/month) | Includes |
|---|---|---|
| Entry level | From ~£14 | Core VoIP, voicemail, mobile app |
| Standard | From ~£18 | Hunt groups, call forwarding, auto-attendant |
| Advanced | From ~£25+ | Call recording, analytics, advanced routing |
| Handset rental | £2–5/device/month | Yealink or Polycom desk phone |
| Annual increase | RPI % each April | Applied to all elements of the contract |
How BT Cloud Voice compares to the main alternatives available through independent resellers:
| Provider | Contract | Pricing | Handsets | Support | Best for |
|---|---|---|---|---|---|
| BT Cloud Voice caution | 60 months | £14–25+/user + RPI rises | Yealink & Polycom only | Ticket-based | Managed service buyers |
| GoYap recommended | 12 months | From £8.95/user | 300+ models supported | UK direct | Best value SMEs |
| Gamma Horizon recommended | 12–36 months | From £12/user | Wide range | UK direct | UK SMEs needing SLA |
| Microsoft Teams Calling | 12 months | From £12.50/user | Teams-certified phones | UK direct | Microsoft 365 users |
| 8x8 | 12–36 months | From £16/user | Wide range | UK support | Multi-site & enterprise |
BT Cloud Voice makes sense if you are a larger business that wants a fully managed service from a recognised UK telecoms brand, you are not price-sensitive over a 5-year horizon, and you are happy with Yealink or Polycom handsets. If you have an existing BT broadband relationship and want to consolidate with one provider, it may also make sense to explore bundling options.
If you value contract flexibility, predictable pricing, direct UK support, or need handsets from manufacturers other than Yealink and Polycom — an independent reseller offering Gamma Horizon, GoYap or Microsoft Teams Calling will almost certainly give you a better outcome.
BT Local Business partners are independently operated businesses authorised to sell BT products. They are not BT employees and their product range is limited to what BT authorises them to sell. This means they cannot offer you alternatives to BT Cloud Voice, cannot offer significantly different contract structures without pushing back hard internally, and their commercial interest is tied to the products they are authorised to sell.
That does not mean they cannot negotiate — it may be possible to get a shorter term or better rate if you push, particularly if you are a larger business or are willing to accept a higher monthly rate. But going into any conversation with a BT Local Business partner knowing these constraints puts you in a stronger position.
Tell us about your business and we'll match you to the right solution — no obligation, no 60-month contracts unless you want one.
